POSITION TITLE: Registrar
FLSA: Non-Exempt
REPORTS TO: High School Lead Counselor
TERMS OF EMPLOYMENT: 12-month employment with benefits as specified in the Classified Agreement.
Summary of Duties:
The registrar performs varied and responsible work in the registration, transfer, preparation, and maintenance of student records and transcripts for a senior high school.
The Registrar must apply specialized procedures and maintain contacts with colleges, universities, national testing services, military, and employers. Volume and nature of work follows the school cycle from enrollment to graduation. Employees must exercise tact in working with and providing confidential and non-confidential student information to authorized parties in compliance with established policies often on inflexible schedules; and providing general clerical support, information and/or direction as assigned.
ESSENTIAL FUNCTIONS:
- Assists the Lead Counselor in developing the course master schedule for the purpose of ensuring student course and class size requirements are accurate.
- Attends department, in-service meetings, workshops and/or seminars as assigned for the purpose of conveying and/or gathering information required to perform job functions.
- Evaluates transcripts of incoming students (e.g. evaluates, investigates, interprets course information to be entered into the student record, etc.) for the purpose of transferring grades and semester credit hours into the student information system.
- Informs appropriate staff and parents of possible student course deficiencies for the purpose of assisting in addressing student course requirements and completion.
- Maintains a variety of manual and electronic documents, files, and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
- Performs enrollment and withdrawal activities (e.g. verifies enrollment, residency, immunizations, birth certificate, grade level, custody, previous school records, placement tests; withdraws students and forwards records to other schools upon request, etc.) for the purpose of complying with established requirements.
- Prepares standardized documents and reports (e.g. report cards, class schedules, form letters and memos, calendars, bulletins, periodic reports, etc.) for the purpose of communicating information to other parties and/or agencies.
- Processes a variety of documents and materials (e.g. transcripts, job verification, etc.) for the purpose of providing required information in response to requests from students, other districts, colleges/universities and/or employment agencies.
- Researches discrepancies in student records for the purpose of verifying graduation status and ensuring the accuracy of information.
- Responds to questions from a variety of internal and external sources for the purpose of providing information and/or direction.
- Verifies student related data for the purpose of ensuring the accuracy of the student records; compliance with district and state policies; compliance with legal requirements.
OTHER FUNCTIONS:
- Performs other related duties as assigned ensuring efficient and effective service to coworkers, students, and the community.
Job Requirements
Skills, Knowledge, and Abilities
Technical skills are required to perform tasks with a requirement for continuing education to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment, operating student management software, operating common office software, and maintaining exceptional clerical consistency in preparing and maintaining accurate records.
KNOWLEDGE required to perform basic math including: calculations using fractions, percent, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: business telephone etiquette; District and state regulations; coursework required for graduation.
ABILITY to schedule a number of activities, meetings, and/or events; gather, collate, and/or classify data; and use job-related equipment. Flexibility is required to work with others in a wide variety of circumstances: analyze data utilizing defined but different processes; and operate equipment using defined methods. This position requires: the applicant have the ability to work with a diverse range of individuals and/or groups while working with a variety of data using specific job-related equipment.
Problem solving is required to analyze issues and create action plans. Specific ability-based competencies required to satisfactorily perform the functions of the job include: understanding of codes, regulations and laws related to student enrollment, graduation and transfer; adapting to changing priorities; communicating with diverse groups of individuals; maintaining confidentiality; working as part of a team; working with detailed information; working with frequent interruptions; setting priorities and working under minimal supervision; working within time constraints; and ability to read, write and communicate clearly in English.
Responsibilities include:
- Working under limited supervision following standardized practices and/or methods;
- Leading, guiding, and/or coordinating others;
- Operating within a defined budget.
- Utilization of some resources from other work units may be required to perform the job’s functions.
Work Environment
The usual and customary methods of performing the job’s functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally, the job requires 70% sitting, 15% walking, and 15% standing. This job is performed in a generally clean and healthy environment.
Experience: Job related experience with increasing levels of responsibility is desired.
Education: Targeted, job related education with study in job-related area.
