Title: Foundation Administrative Assistant
Annual Schedule: Full-Time (hours/days negotiable)
Reports to: Foundation Executive Director
Salary: Commensurate with experience
Purpose Statement: The JC Schools Foundation Administrative Assistant will work alongside the Executive Director to implement the purpose, mission, and goals of the Foundation by assisting with fund development and the growth of our donor base, while ensuring office-related duties are kept current. This may include but is not limited to, implementing sustainable giving campaigns, building relationships with possible donors, tracking incoming payments and outgoing expenses, issuing checks, and tracking registrations for events and payments.
Essential Functions:
- Assist Executive Director in implementing fundraising strategies.
- Assist Executive Director in building and maintaining relationships through communications such as email and phone correspondence.
- Assist and coordinate volunteer and professional relationships supporting Foundation events, major/planned gift fundraising activities, scholarships, and campaigns.
- Assist with social media platforms, graphic design, website management, etc.
- Schedule and organize meetings or events, coordinate and set up supplies needed for meetings or events, and take meeting minutes.
- Manage daily clerical duties including, but not limited to, deposits, purchase orders, data input into donor software, etc.
- Able to operate a personal computer, laptop computer, peripheral computer equipment, photocopier, fax machine, and other office equipment with high skill.
- Works with JC Schools Communications Department on staff events and other JC School District priorities as needed.
- Type and/or draft letters of correspondence.
- Organize and update board meeting documents.
- Maintain confidentiality.
- Attend meetings and training as directed.
- Present and communicate in a professional manner.
- Work additional hours or overtime as directed.
- Other duties as assigned.
Experience:
- Team-oriented and organized mindset
- Highly motivated and confident in relationship-building skills
- Have a willingness to learn and utilize software that will advance Foundation goals
- Experience with preferred marketing and social media platforms: canva, smore, squarespace
- Experience in donor database management: etapestry / Blackbaud
- Google Suite
- Event planning experience
- Knowledge of accounting, budgeting, financial management and marketing
- Customer service experience
Education/Certification: Minimum of high school diploma, bachelor’s degree preferred.
